Who we are
Quill TC provides real-estate transaction coordination services. We process information about parties to a real-estate transaction solely to coordinate that transaction, including preparing and routing documents, tracking deadlines, and communicating with the people involved.
Information we collect
We collect contact details, transaction details, transaction documents, and communications sent to or from our coordination addresses and phone numbers. Information may come from transaction documents, forms completed by you or your agent, and communications with us.
Text messaging
With your express opt-in—given when you submit your own number and affirmatively select the SMS consent box on a Quill TC consent or onboarding form—we may send transaction-related text messages, including document requests, signature reminders, deadline notices, and status updates, and receive your replies. Consent is optional and is not a condition of receiving Quill TC services.
Phone numbers received another way, such as in a purchase contract or from an agent, are stored as contact records but are not texted unless the individual opts in. Message frequency varies with transaction activity, typically a few messages per week during an active transaction. Message and data rates may apply. Reply STOP at any time to opt out or HELP for assistance.
All categories of data sharing described in this policy exclude text messaging originator opt-in data and consent. Mobile information and SMS consent will not be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or transfer SMS consent. Service providers acting on our behalf may process this information only as needed to deliver and support the messaging program, and not for their own marketing.
How we share information
We share transaction information only as needed to coordinate the transaction, including with transaction parties, their agents and brokers, escrow and title companies, lenders, and the service providers used for document signing, email, text delivery, and secure hosting. We do not sell personal information or share it for third-party marketing.
Retention and security
Transaction records are retained as required by applicable real-estate record-keeping obligations and then deleted or anonymized. We use reasonable administrative, technical, and physical safeguards to protect information.
